Communication Policy

This Communication Policy (“Policy”) outlines how Sumvaad (sumvaad.co.in) communicates with its users, including the types of communication, delivery channels, user controls, and associated responsibilities.

 

By registering on Sumvaad or using any of its features, you agree to this Policy. This Policy is mandatory and forms an integral part of Sumvaad’s Terms and Conditions.

1. Scope and Channels of Communication

 

Sumvaad communicates with users through the following official channels:

  • Registered Email Address (primary channel)

  • Official WhatsApp Business Number

  • Platform-based notifications (where applicable)

All official communication will originate only from authorized Sumvaad systems or representatives.

2. Classification of Communication

 

Sumvaad communications are categorized into the following three types:

 

2.1 Critical Communication (Mandatory)

These communications are essential for platform operations, legal compliance, transaction processing, and user safety.

By being a registered user, you agree to receive all critical communications. These communications cannot be disabled.

Critical communications include, but are not limited to:

a) Account and Compliance Communication

  • Notices related to violation of policies, guidelines, or terms

  • Warnings, restrictions, suspensions, or account actions

  • Requests for verification or clarification of user information

b) Transactional Communication

  • Purchase confirmations (successful, failed, pending)

  • Feature activations and access confirmations

  • Billing-related clarifications or discrepancies

c) Payment Communication

  • Invoices and receipts

  • Refund confirmations

  • Payment-related alerts or issues

d) Service Communication

  • Booking confirmations, updates, or cancellations (including consulting services)

  • Feature updates, changes, or discontinuation notices

  • System alerts affecting user access or usage

e) Policy and Legal Communication

  • Updates to Terms and Conditions

  • Privacy Policy updates

  • Guidelines and compliance updates

f) User-Initiated Communication

  • Contact form submissions and responses

  • Support requests, tickets, and follow-ups

These communications are necessary for lawful operation, record-keeping, and dispute resolution.

2.2 Activity-Based Communication (User-Controlled)

 

These communications relate to user engagement and activity on the platform.

They may be enabled by default but can be managed or disabled by the user through available settings.

These include:

  • Notifications related to replies, comments, or interactions

  • Updates on discussions, posts, or content the user is associated with

  • Changes in user activity or participation

If these communications are disabled, Sumvaad shall not be responsible for any missed updates or engagement-related information.

2.3 Promotional Communication (Consent-Based)

 

These communications are intended for awareness, engagement, and marketing purposes.

They may include:

  • Announcements of new features or services

  • Platform updates and improvements

  • Offers, campaigns, or promotional messages

  • Educational or curated business content

Users may opt-in during registration or unsubscribe at any time using the unsubscribe option provided in such communications.

Sumvaad will process unsubscribe requests within a reasonable time.

3. User Consent

 

By registering on Sumvaad:

  • You provide explicit consent to receive all critical communications

  • You acknowledge that activity-based and promotional communications may be enabled by default

  • You accept responsibility for managing your communication preferences

Disabling optional communications may result in missed updates, for which Sumvaad shall not be held liable.

4. Delivery and Limitations

 

Sumvaad does not guarantee:

  • Real-time delivery of communications

  • Delivery to inbox (emails may be filtered as spam or blocked)

Delivery may be affected by:

  • Email service providers

  • Messaging platforms such as WhatsApp

  • Internet connectivity and user device settings

Sumvaad shall not be liable for:

  • Delayed delivery

  • Failed or missed delivery

  • Communication filtered, blocked, or not accessed by the user

5. Third-Party Services

 

Sumvaad relies on third-party systems for communication, including but not limited to:

  • Email automation and delivery systems

  • Messaging platforms

  • Hosting and infrastructure providers

Sumvaad acts as a facilitator and shall not be responsible for failures, delays, or data handling issues arising from such third-party services.

6. User Responsibilities

 

Users agree to:

  • Provide accurate and active contact information

  • Regularly check their registered communication channels

  • Ensure that Sumvaad communication is not blocked or filtered unintentionally

Users must not:

  • Misuse communication channels

  • Engage in spam, harassment, or impersonation

Failure to comply may result in account action.

7. Anti-Spam and DATA Use

 

Sumvaad does not sell or rent user contact information.

All communication is conducted in accordance with applicable Indian laws, including provisions of the Information Technology Act, 2000 and applicable rules. For details on data handling, users must refer to the Privacy Policy.

8. Modification of Policy

 

Sumvaad reserves the right to modify this Policy at any time.

Users will be informed of such changes through critical communication channels. Continued use of the platform after such updates constitutes acceptance of the revised Policy.
